Under the direct supervision of the Executive Director, the Administrative Assistant/ Marketing Coordinator position coordinates all administrative matters including, but not limited to, schedule management, Board meeting support, schedule and file management, event coordination and planning, and event support.  The position is also responsible for all agency marketing activities including the coordination of the production of all marketing materials as well as managing social media accounts and website maintenance. This position will also provide support related to all organization grant activities. 


  1. Provide administrative/clerical support
  2. Responsible for maintaining electronic filing system and all record-keeping
  3. Provide administrative support to Board of Directors at meetings, as assigned, which may include taking and preparing meeting minutes
  4. Compose and edit office documents including correspondence, memoranda, agendas, reports, and presentations
  5. Assist with the development and oversight of database and tracking systems
  6. Assist in the production of an annual and other reports
  7. Oversee the production of all marketing materials
  8. Deploy successful marketing campaigns from ideation to implementation
  9. Coordinate all social media communications and activities
  10. Update and maintain OhioPRO website
  11. Coordinate, schedule, and plan peer support trainings and other peer events
  12. Produce and distribute certificates of attendance to training participants
  13. Assist in planning statewide conferences, retreats, and other events (form registration to sourcing and catering) and managing contracts related to the same
  14. Conduct outreach to speakers, presenters, sponsors, and vendors for conferences, and other events
  15. Assist in ensuring all grant deliverables are satisfied and that reports are submitted timely
  16. Assist with searching for funding opportunities
  17. Assist with fundraising activities
  18. Assist in building strategic relationships with community partners
  19. Demonstrate professional conduct at all times
  20. Reliable and predictable attendance is required
  21. Perform other duties as assigned 


  • Ideal candidate will be a person with a lived experience and in long-term recovery from a mental health disorder, substance use disorder, and/or co-occurring disorder.

  • Excellent communications skills (both oral and written communication) and adaptable communications style
  • Independently motivated, goal driven, and results-oriented
  • Excellent organizational skills with keen attention to detail
  • Be empathetic to the peer community, and to the needs of both peers and peer run organizations
  • Must have reliable transportation and be licensed to drive in state of Ohio.
  • Proficient with marketing-related software programs
  • Ability to learn use of secure systems
  • Skilled at time management of both self and others
  • Analytical and problem-solving skills services
  • Proficient with software programs/applications including Microsoft Office suite (including Excel, PowerPoint, and Teams) Canva, WordPress, Keynote, Zoom, Constant Contact (or like programs), LastPass (or like programs)
  • Demonstrable experience in marketing and administrative support
  • Knowledge of website analytics tools
  • Numerically literate, comfortable working with numbers, making sense of metrics and processing figures with spreadsheets
  • Up to date with the latest trends and best practices in online marketing and measurement
  • Bachelor’s Degree, or associate degree plus two years of related work experience, or 4 years of related work experience.
